The opportunity

We are looking for a dedicated, proactive HR Co-ordinator to join our HR team. This role is a fantastic opportunity for someone looking for a step up in HR and who already has a minimum of 2 years of HR generalist experience in a law firm or other professional services company. We are looking for someone who is very willing to continue to learn on the job and has a proactive ‘can do’ attitude. The right person will be energetic and personable but detailed focussed on all aspects in the delivery of their role. As a member of a small (front-line) HR team, we are looking for someone with good communication skills, and who brings enthusiasm to their role and to the contribution they can bring to the team.

A genuine passion and interest to promote and support the firm’s D&I strategy is essential for this role.

Responsibilities

The role itself is to assist the HOps/HRA deliver efficient day-to-day running of the HR department which includes (but is not limited to):

  • HR Operations: Responsible for new joiners and leavers processes and weekly updates; super user for all FW systems; ensuring input for all new starters onto systems. Provides cover to HOps where appropriate.
  • HR admin: responsible for the new joiner and leaver processes including checking offer letters and new joiner references; integral role with on boarding in overseeing accurate new joiner packs and HR inductions - hold HR induction for all new support team joiners, and lawyer inductions when HOps is not available. New starter on-boarding checking processes (day one, one week & one month). Ensures HRA completes accurate admin tasks and assists with managing HRA to do lists; Completes SRA compliance as it applies to HR. Works with HOps and HRA to produce salary review and bonus letters. Holds all exit interviews and and puts forward suggestions of trends/patterns for bi-annual reporting. Works with HRD to complete half year and full year HR metrics.
  • Employee Lifecycle: work with HOps on End of Probation reviews; Parental Leave, Flexible Working, Compassionate Leave, Promotion logistics etc.
  • Diversity & Inclusion: Supports HR Partner and Diversity Partner with D&I forums, planning events, meeting speakers, introducing events, scheduling training and being the HR link with Diversity partner. Is the primary liaison with quarterly events teams to co-ordinate activities budget spend and D&I newsletter. Is the primary liaison with BTC and ENEI to ensure FW is making the most of our partnership. Delegates scheduling to HRA or CS team.
  • Trainees: manages mid-seat and end of seat review documentation and compliance as it relates to HR; manages seat rotation logistics; manages qualification admin, IT logistics.
  • Trainee Recruitment: works with Talent Officer and HRA to manage our annual FW graduate recruitment process including assessment centres, vacation weeks, insight days.
  • Recruitment: is a competent user of AllHires, Apply4Law, Shortlister platforms and provides cover for TO when on leave.
  • Provides admin support to HOps and Legal Support Manager, provides cover when required

Fox Williams currently operates a hybrid working pattern of 60% in the office and 40% working from home. During the first six weeks of employment, we would like our HR Co-ordinator to work in the office at least 4 days per week to get up-to speed with our working practices, firm culture and make the most of the in-person learning opportunities from the wider HR team.
